1. Introduction

Meetuate is a product of CLOUCOPE LLC (“we”, “us”, “our”). It provides meeting intelligence software for teams. This Privacy Policy explains how we collect, use, and protect personal information when you visit our website, join our waitlist, or use our services hosted on Zoho Catalyst.

2. Information we collect

We may collect the following types of information:

  • Contact information - such as your email address when you join the waitlist or create an account.
  • Account information - name, organization, role, and authentication details when you sign in.
  • Usage data - meeting metadata, action items, analytics, and product interaction data you submit through the app.
  • Technical data - IP address, browser type, device information, and cookies (see our Cookie Policy).
  • Page analytics - pages and sections visited, referrer, anonymous visitor/session IDs, and approximate location (country, region, city, timezone) derived from your IP at request time. We do not store your IP address, coordinates, or ISP details.
  • Billing information - processed by our payment provider when you subscribe to a paid plan; we do not store full payment card details.

3. How we use your information

We use personal information to:

  • Provide, operate, and improve Meetuate
  • Manage waitlist signups and communicate about product availability
  • Authenticate users and enforce access controls within your organization
  • Process subscriptions and send billing-related notices
  • Respond to support requests and legal obligations
  • Analyze aggregated usage to improve reliability and features

4. Legal basis and retention

We process data based on contract performance, legitimate interests in operating our service, consent where required (e.g. marketing emails), and legal compliance. We retain data only as long as needed for these purposes or as required by law, then delete or anonymize it.

5. Sharing and subprocessors

We do not sell your personal information. We may share data with:

  • Cloud provider - hosting, datastore, authentication, and file storage (Stratus)
  • Payment provider - payment processing for paid plans
  • Service providers who assist with support, security, or analytics under confidentiality obligations
  • Authorities when required by law or to protect rights and safety

We implement administrative, technical, and organizational measures appropriate to the risk, including encryption in transit, access controls, and tenant isolation by organization. No method of transmission over the internet is 100% secure.

8. International transfers

Your data may be processed in countries where our providers operate. We take steps to ensure appropriate safeguards where required by applicable law.
